Government of Ontario Art Collection Digital Order Form


Personal information provided to the Archives through this order form or through telephone, fax, letter or e-mail enquiry is collected under the authority of the Archives and Recordkeeping Act, 2006, S.O. 2006, chapter 34, Schedule A. and will be used only in responding to enquiries and for statistical analysis. Ordering Information

Digital images will be provided in tiff format at a resolution of 300 dpi for colour and 600 dpi for greyscale.

Reproductions of images found in the visual database may be ordered from the Archives of Ontario in the following methods:

CD/DVD-ROM:

Digital images will be provided on a CD, or if necessary DVD-ROM.
Cost: $33.80 per image plus HST or GST (depending on province) and postage and handling if applicable

Prints up to 8" x 10":

We offer reproductions on premium quality paper printed at the highest quality setting. The resulting prints are of display quality and under ideal conditions should not fade for a very long time. Most are suitable for publication.

Cost: $42.25 per print plus HST or GST (depending on province) and postage and handling

Rush processing option:

A rush processing option at a cost of $16.90 per image. Please note that this service is currently only available for items which have been previously digitized, and only for orders of 10 items or less.

FTP delivery:

In addition, customers may choose to receive their images via FTP, which is a process that is used to transfer data from one computer to another via the Internet. There is no cost for FTP delivery.

Orders will be processed within 5 business days of their receipt (unless otherwise indicated).

Requests are processed in the order in which they are received.

Digital imaging can provide access to some items which, for preservation reasons, are usually inaccessible to researchers. Therefore standard reproduction options may not be available.

Payment Policy

An invoice will be mailed upon completion of reprographic services for all non-pick-up orders. Orders will be mailed to the customer upon receipt of payment in full.

Invoices are due upon receipt. A second notice will be sent out 30 days after invoice date if still unpaid. Government of Ontario collection procedures will be followed if payment is not received 30 days after second notice has been issued.

Payment may be made in cash (Canadian dollars) and by debit card in person only. Personal cheque or money order (Canadian dollars) made out to "Minister of Finance" accepted in person or by mail. Visa, Mastercard and American Express accepted in person or by telephone, or through the secure website found at the bottom of your invoice.

Payments processed by credit card and subsequently declined by the cardholder will be invoiced directly to the customer.

Customers who are picking up their orders will be called or notified by mail when their copies are ready. Orders being picked up must be paid for in full at time of pickup.

For all mail out orders over $8.45, a postage and handling charge will be applied to each order. Customers will be charged the actual service cost when they request delivery by other than regular postal service.

Ontario Government ministries and scheduled Agencies may use their Government Purchasing Card, use journal entry or issue purchase orders to cover the costs of their invoices/charges.

Copyright

  1. The Archives of Ontario may not be the holder of copyright or intellectual property rights in the images and the client accepts full responsibility for obtaining permission from the copyright owner.

  2. The Archives will, where possible, endeavour to provide information about copyright to the client. All responsibility for possible infringement of copyright or other rights, including the invasion of privacy arising from use of reproductions is assumed by the user.

Use of Images

  1. Copies are provided for research and private study only. Permission to use images in any publication, exhibition, film, video or tv broadcast, or on any cd or website, must be obtained from the Archives of Ontario prior to use. Please notify the Archives if you intend to publish images. This applies to low-resolution copies downloaded from this site at no cost and to high resolution copies. Please complete a Request for Permission to Publish, Exhibit or Broadcast form.

  2. Permission is granted for a one-time use only. Permission for reproduction is limited to the applicant only and is not transferable. Any subsequent or change in use requires permission from the Archives of Ontario.

  3. The Archives of Ontario must be credited for each image used. The citation will include as much of the information relating to the artwork as is feasible depending on the amount of space available. However, the citation must include the title of the work, the artist and the collection credit as shown in the sample citation below.

  4. Credits should appear in close proximity to the image or in a special section devoted to credits. Credits for images used in film and other broadcast material may omit the accession number, however, these should be kept on file.

  5. The image may not be cropped or altered in any way without the permission of the Archives of Ontario. If a detail of the image is to be used, this must be noted in the caption as shown in the sample citation below.

  6. The user may not reproduce, resell or permit others to reproduce the photographic copy or any facsimile of it. Additional copies must be purchased from the Archives of Ontario.

  7. One complimentary copy of each publication or CD ROM in which the photographic copy appears must be sent to the Archives of Ontario.

  8. In authorizing the publication of images from the Government of Ontario Art Collection, the Archives of Ontario does not surrender its own right to publish it, or to grant permission to others to do so.
