Digital Images Order Form


Personal information provided to the Archives through this order form or through telephone, fax, letter or e-mail enquiry is collected under the authority of the Archives and Recordkeeping Act, 2006, S.O. 2006, chapter 34, Schedule A and will be used only in responding to enquiries and for statistical analysis. Ordering Information


Digital images will be provided in tiff format at a resolution of no less than 300 dpi for colour and 600 dpi for greyscale.

Reproductions of images found in the visual database may be ordered from the Archives of Ontario in the following methods:

Digital images:

Digital images will be delivered through FTP or Hightail.  They can also be provided on a CD or DVD-ROM.
Cost: $43.93 per image (RUSH service: $65.91 per image) plus HST and postage and handling if applicable

Prints up to 13" x 19":

We offer reproductions on premium quality matte, semi gloss, glossy and lustre paper printed at the highest quality setting. The resulting prints are of display quality and under ideal conditions should not fade for a very long time. Most are suitable for publication.

Cost: $54.83 per print (RUSH service: $76.90 per print) plus HST or GST (depending on province) and postage and handling

Prints larger than 13" x 19" up to 24" wide with no limit on length:

Cost: $109.85 per print (RUSH service: $131.82 per print) plus HST



Orders will be processed within 5 business days of their receipt (unless otherwise indicated).

Requests are processed in the order in which they are received.

Some items which, for practical or preservation reasons, which are usually inaccessible to researchers (glass negatives etc.) may be reproduced to provide access. Not all standard reproduction options will be available for all original items however. Reproduction requests for these items will be assessed on a case by case basis.

Payment Policy


An invoice will be sent upon completion of reprographic services for all non-pick-up orders. Orders will be sent to the customer upon receipt of payment in full.

Invoices are due upon receipt. A second notice will be sent out 30 days after invoice date if still unpaid.

Payment may be made in cash (Canadian dollars) and by debit card in person only. Personal cheque or money order (Canadian dollars) made out to “Minister of Finance” accepted in person or by mail. Visa and Mastercard.

Payments processed by credit card and subsequently declined by the cardholder will be invoiced directly to the customer.

Customers who are picking up their orders will be called or notified by mail when their copies are ready. Orders being picked up must be paid for in full at time of pickup.

For all mail out orders over $5.00, a postage and handling charge will be applied to each order. Customers will be charged the actual service cost when they request delivery by other than regular postal service.

Copyright

  1. The Archives of Ontario may not be the holder of copyright or intellectual property in the images and the client accepts full responsibility for obtaining permission from the copyright owner.

  2. The Archives will, where possible, endeavour to provide information about copyright to the client. All responsibility for possible infringement of copyright or other rights, including the invasion of privacy arising from use of reproductions is assumed by the user.

Use of Images

  1. Copies are provided for research and private study only. Permission to use images in any publication, exhibition, film, video or tv broadcast, or on any cd or website, must be obtained from the Archives of Ontario prior to use. Please notify the Archives if you intend to publish images. This applies to low-resolution copies downloaded from this site at no cost and to high resolution copies. Please complete a Request for Permission to Publish, Exhibit or Broadcast form.

  2. Permission is granted for a one-time use only. Permission for reproduction is limited to the applicant only and is not transferable. Any subsequent or change in use requires permission from the Archives of Ontario.

  3. The Archives of Ontario must be credited with the reference code provided for each image used. Please read Customer Service Guide 107 - Citing Archival Records - [Word, PDF]. Credits should appear in close proximity to the image or in a special section devoted to credits. Credits for images used in film and other broadcast material may omit the reference code, however, these should be kept on file.

  4. If the image is manipulated in any way, an accompanying caption must indicate that the image has been altered and how it has been altered (manipulation, significant cropping, tinting, superimposing, etc.)

  5. The user may not reproduce, resell or permit others to reproduce the photographic copy or any facsimile of it. Additional copies must be purchased from the Archives of Ontario.

  6. One complimentary copy of each publication or CD ROM in which the photographic copy appears must be sent to the Archives of Ontario.

  7. In authorizing the publication of images from the collection, the Archives of Ontario does not surrender its own right to publish it, or to grant permission to others to do so.
