Order reproductions

Get digital, print or certified copies of items in our collections for private use or legal purposes.


Information you need to order a reproduction

Follow these steps to order a reproduction:

  1. Identify the item you want to have reproduced. You can:
    • flag the item you want reproduced when viewing it in the Reading Room
    • find the item(s) or file(s) in Collection Search
    • search an index in the Reading Room or online to find the file number(s) of a given person or case
  2. Gather the following information for each item:
    • title
    • reference code (F x-x-x-x; RG x-x-x-x; C x-x-x-x), call number or volume (please provide complete item or file-level code)
    • location and ordering information
    • registration number (if applicable)
    • date of creation (optional)
  3. Determine what kind of reproduction you want. Visit our services and fees page to learn about what you can order and to estimate how much it will cost.
  4. Contact us or use our online form to submit your order.

Note: if you do not know the exact item or file you want reproduced, you will need to come in person to flag it, find it online or hire a researcher to flag it on your behalf.

Note: plain copies of records on microfilm aren’t available for reproduction. Visit the Reading Room to save your own digital copies of microfilmed records on USB using our scanners.

Note: you must provide a registration number to request a copy of a government birth, marriage or death registration. Learn more about registration numbers on our Birth, marriage and death registrations topic page.

Personal information provided to the Archives through this order form or through email, phone or mail enquiry is collected under the authority of the Archives and Recordkeeping Act (2006) Chapter 34, Schedule A and will be used only in responding to enquiries or for statistical purposes.

Service fees

Reproduction costs depend on the chosen turnaround time, item format, size and page volume.

We calculate the exact cost after completing the reproduction. We will send you an invoice that details our work.

We require a $100 deposit on any order estimated to be over $500.

What to expect after submitting an order

Your order has been sent to a reference archivist to process.

We use the information provided to retrieve the item if it wasn’t flagged in person. We may reach out to you to confirm the item(s) you want reproduced or to let you know if they require conservation treatment before reproduction can start. We will also notify you if your order is estimated to cost over $500.

When your reproduction is ready, we will send you an invoice. Upon receipt of payment, we will deliver your order according to the option you selected (electronic delivery, mail or courier).

Turnaround times

Our standard to complete your reproduction is 14 business days. Some services have a “rush” option that can be completed in 4 business days.

It may take longer than 14 business days if the items require processing or conservation treatment before being reproduced.
